What you will do: create a one-time invite code for one staff member in the Warden dashboard and send it to them together with the server address. Each person, and each PC, needs its own code. The code works once and expires 24 hours after you create it, so create it when the person is ready to install Guard.
Time: about 3 minutes per person. You need: Guard set up on the server (see Set up Secure Access), at least one free seat in the Remaining box, and the staff member’s name. Their email address is optional.
Steps
- On the server, open the Warden dashboard with the desktop shortcut Prixl Warden Dashboard and click Secure Access in the sidebar.
- Find the section Create Invites. Under it a line tells you how many invites are waiting, for example “Max 10 pending invites allowed (2 pending)”. You can have up to 10 unused invites at a time.
- In the box Employee name *, type the person’s name. This name is how the person will appear in the dashboard later, so make it recognisable, for example “Priya – home laptop”.
- Optional: in Employee email (optional), type their email address. Prixl will then email the code, the server address and the download link straight to them, with your admin addresses copied.
- Click Create Invite.
- A box appears headed Invite Code for followed by the name. It shows the 26-character code and Expires: with a time. That time is in UTC; India is 5 hours 30 minutes ahead.
- Click Copy. The button changes to Copied!. If the dashboard shows Press Ctrl+C instead, press Ctrl and C on the keyboard while the code is selected.
- Send the person three things by email or chat: the invite code, the server address from the line After connecting, RDP to: at the top of the Secure Access tab, and a link to the staff guide For staff: install Guard and connect to the office server. Ask them to paste the code rather than retype it.
If you entered an email address in step 4, the person receives an email with the subject [Prixl Guard] Your VPN Access Invite. It contains the code on its own line, the Server IP to use in Remote Desktop, the expiry time, the download link and three short steps. If you did not enter one, Prixl emails your admin addresses an “Invite Created” notice with the same code and address so you can forward it. Either way, the dashboard copy in step 7 is enough on its own; do not wait for an email if it has not arrived.
Cancel an invite you no longer need
In the Pending Invites table, click Cancel on the row and confirm the message “The invite code will no longer work.” You can only cancel an invite that has not been used. Once a person has used their code, remove their access from the Connected Peers table instead (see Revoke access, replace a laptop, re-invite).
Check it worked
- Right after step 5, the invite appears in the Pending Invites table with the full code.
- After the person enters the code in Guard, it moves to the Redeemed Invites table, their name appears under Connected Peers with an Assigned IP, and the In Use seat count goes up by one. You may need to refresh the page.
If something goes wrong
- “Employee name is required.”: type a name in the first box.
- “Cannot create invites – 10 pending (max 10)”: cancel unused invites in the Pending Invites table, or wait for them to expire after 24 hours.
- “All N of M Guard seats are in use across your whole organisation…”: revoke a peer you no longer need (the message names the least recently used one), or contact Prixl for more seats. Unused invites do not take a seat.
- The staff member sees an error when entering the code: see the error table in Troubleshooting Guard.
